How to list commercial space for lease in 4 steps

Listing a commercial lease takes four steps from your account: start the listing, answer TRREB's lease questions, sign, and we enter it on the board. Once your ID, proof of ownership and signature are in, we enter it and email you the MLS® number when it's live; then tenants' agents start calling.

  1. Start and pay. Choose Commercial for Sale or Commercial for Lease when you start your listing and pick a plan: $69.99 a month (cancel any time) or $99.99 for 2 months; longer plans are on pricing.
  2. Answer the lease questions. The lease price and how it's quoted, the minimum and maximum term, the area, the zoning and the details your Type of property needs, plus up to 40 photos.
  3. Sign the listing agreement online. We check the listing and enter it on the MLS® System; it's sent on to realtor.ca.
  4. Tenants' agents contact you. You show the space, review offers to lease with your lawyer, and tell us when it's leased.

Where to list commercial property for lease, and why the MLS® matters

Commercial tenants rarely find space alone: retailers, clinics, offices and warehouse users usually hire an agent to search for them, and those agents search the MLS® System first. Free and paid sites such as Spacelist, LoopNet, Kijiji and Facebook Marketplace reach tenants searching on their own; nothing in a flat fee listing stops you posting there too.

Your MLS® listing goes in through PropTx, which feeds TRREB and other Ontario boards, so agents across the province see it in their own board's search, and it's sent on to realtor.ca. A sign on the building still works for drive-by tenants; put the same price and contact on both.

How to quote the lease price: per month, net or gross

TRREB asks for the lease price and how it's quoted, so tenants compare like with like. Most office, retail and industrial space is quoted per square foot per year, either net or gross. Pick the one that matches how you'll charge:

Lease terms and the other details tenants filter by

Commercial tenants and their agents filter by size, use and term before they book a showing, so state these plainly. TRREB requires a minimum and maximum lease term in months (e.g. 36 to 120 for three to ten years), the possession timing (Immediate, Flexible, 1–29 days up to 90+ days), the zoning, and the Total Area (mark it divisible if you can split the space).

Your Type adds its own questions: an office asks about the elevator; industrial space asks for clear height, shipping doors and rail access; retail asks for the retail area and parking. In the description, say what's permitted (e.g. restaurant, medical, light industrial), what's included (washrooms, HVAC, signage) and who pays which costs.

The commission you offer a tenant's agent

You set the commission paid to a co-operating brokerage that brings the tenant who signs. It's only paid then, it must be a firm amount (never $0, never "TBD"), and if a tenant comes to you with no agent there's nothing to pay.

A commercial lease listing can offer a percentage of one month's rent, a flat dollar amount, or commercial terms written out, such as "4% of net rent yrs 1-5, 2% after + HST" or "$2.50/sq ft/yr of term + HST". Commercial leases follow different rules from homes

A commercial lease in Ontario falls under the Commercial Tenancies Act, not the Residential Tenancies Act, so there's no standard form of lease, no rent increase guideline and no Landlord and Tenant Board. The terms are what you and the tenant agree in writing, which makes the lease itself the most important document in the deal.

Offers usually come on the OREA Agreement to Lease – Commercial, with the rent, term, deposit, use, improvements and conditions. Have a lawyer review it before you sign; a commercial lease runs for years, and clauses on repairs, assignment, renewal and additional rent decide what it's worth. Is listing your commercial space yourself right for you?

It suits landlords with one or a few spaces who can answer calls quickly, show the unit and work through an offer to lease with their lawyer. Most of the commercial listings we've posted so far are leases of this kind: a single retail unit, a workshop, an office floor.

How do I advertise office space for lease?

Quote the rent the way tenants compare it (per square foot per year, net or gross), state the size, term, use and who pays additional rent, add clear photos, and list it on the MLS® System so tenants' agents see it. A sign and free sites reach the rest.

Can I rent out my commercial property without an agent?

Yes. You can lease it yourself, and with a flat fee listing a brokerage still puts it on the MLS® System for you. You show the space, negotiate and sign the lease with your lawyer; a tenant's agent is paid the commission you offered only if they bring the tenant.

What's the difference between a net and a gross lease?

With a net lease the tenant pays base rent plus its share of property taxes, maintenance and insurance (TMI). A gross lease rolls those costs into one rent. TRREB asks which one your price is, so tenants compare like with like.

Does the Residential Tenancies Act apply to a commercial lease?

No. Commercial leases in Ontario fall under the Commercial Tenancies Act, and the terms are mostly what you and the tenant agree in writing. There's no rent increase guideline or Landlord and Tenant Board for commercial space.

What if I find a tenant on my own?
